This guide focuses on the workflows most teams run every day: database, AI, forms, document writing and publishing, invoicing, and billing.
Quick start
Use this checklist to go from zero to a live workflow in under one hour.
- Create your organization and invite at least one teammate.
- Create one database table for your core workflow, for example leads, customers, projects, or support requests.
- Create one AI agent in Your AI with a specific role and clear instructions.
- Create one form and map it to your table so submissions become records.
- Create one document in Workspace Docs and publish it for team access.
- Create and send one invoice so your payment flow is tested end to end.
Database
The database is your source of truth. Keep customer, operational, and workflow records here so your team and AI work from the same data.
- Create clear table names by workflow, such as Leads, Customers, Projects, or Tickets.
- Use consistent field naming so forms, automations, and prompts stay stable.
- Use typed columns and required fields for important operational values.
- Review records weekly and archive outdated data to keep searches accurate.
AI agents and chat
Configure one job per agent
Give each agent one primary responsibility, then define output expectations and guardrails in instructions.
Use chat for real execution
Use Chat for day to day work such as follow ups, status updates, drafting client messages, and summarizing records.
Keep responses grounded in data
Ask agents to reference table fields and record IDs when making decisions or recommendations.
Forms
Forms capture incoming work. Map each form to a destination table so every submission is immediately usable.
- Match form fields to table columns with the same naming where possible.
- Publish only after test submissions land correctly in your table.
- Use required fields for any value needed in downstream AI or invoicing steps.
- Keep one form per workflow to simplify reporting and ownership.
Document writing and publishing
Workspace Docs
Write playbooks, process notes, and team standards in Workspace Docs. Publish documents when they are ready for wider use.
Writing standards
Keep sections short, use clear headings, and end each doc with next actions.
Publishing process
Review for accuracy, publish, then share links in your team workflows so everyone uses the latest version.
Invoicing and payments
Get paid with a clean invoice flow
Use invoicing to issue bills, send payment links, and track what is paid or outstanding.
- Set invoice templates and default terms before creating large batches.
- Link invoices to database records where possible for full context.
- Review overdue invoices weekly and trigger follow up tasks in Chat.
Billing and plans
Billing controls your plan and product limits across tasks, integrations, databases, forms, records, and seats.
Plan management
Upgrade when workflows are stable and usage is consistent. Use annual billing where it makes financial sense for your team.
Daily operations workflow
- Morning: review new form submissions and update database statuses.
- Midday: run AI follow up tasks, draft customer messages, and publish updated docs when needed.
- End of day: issue invoices, review payments, and close completed workflow items.
